Eligibility & curation check (accept / decline)

Criteria to accept a work into rental pool:

Visual quality & market fit for target properties.
Condition: no structural damage, not so fragile that repeated shipping will damage it.
Safety & content: no prohibited or legally encumbered material.
Size & weight limits manageable by your installers (set a max weight/size threshold for standard installs).
Proper documentation provided.

If accepted: proceed to certification training + technical prep. If declined: give feedback and invite to resubmit after adjustments.

Certification training & documentation (mandatory)

Artists must complete a short training bundle — can be live webinar + recorded modules:

Module A — Preparing Works for Rental: framing, backing, protected surfaces, labeling.
Module B — Packaging & Shipping Standards: how to crate, bubble-wrap, corner protectors, labelling.
Module C — Installation & Handover Protocols: how installers will hang pieces; what to expect on site.
Module D — Contracts, Pricing & Payments: consignment, rental fees, revenue split, taxes.
Module E — Condition Reporting & Repair: how to document and who pays for damage.

Technical/Production requirements (artwork must meet these)

Completion = short quiz + signed Artist Rental-Ready Agreement (see clauses below).

Framing & hanging hardware
- For framed works: sturdy frame with proper D-rings (screwed into wood/frame, not just glued). Use hanging wire rated for 2× the weight.
- For heavy/large works: French cleat or cleat system recommended. Specify minimum hardware specs for different weight classes.
- For unframed canvases: stretcher bars must be rigid; hanging points installed.
Backing & surface protection
- Solid backing (acid-free if possible) and dust cover on back. Plexiglass instead of glass for >large or fragile prints.
Identification
- Label on back: Work ID, Title, Artist, Dimensions, Year, Weight, Insurance value, Contact. Also attach QR code linking to the online catalog entry.
Condition & repair readiness
- No flaking paint, loose elements, or unstable construction. Minor restorations must be done prior to certification.

Packaging & shipping protocol

Small works (<10 kg) — double bubble wrap, corner protectors, sealed box, courier with tracking.
Medium (10–30 kg) — reinforced boxes, corner protection, packing paper, “this side up” labels, insured shipments.
Large / fragile / valuable (>30 kg) — custom wooden crate, lift assistance, door-to-door white-glove carrier, scheduled shipments and installers.
Always include an installation checklist + condition report in the crate.

Condition report & inspection at install

Before installation, certified installer and site rep complete a Condition Report (photo + checklist). Same on deinstall. Keep signed records for liability. (Template below.)

ArtEvoque defines one of these models ( per partnership):

A) Revenue split (typical) — Example options:

Model 1 (Artist-friendly): Artist 70% / Platform 30% (platform handles marketing & logistics).
Model 2 (Balanced): Artist 60% / Platform 40% (platform handles logistics & insurance).
Model 3 (Logistics fee): Artist receives 85% of rental revenue but pays a fixed logistics & admin fee per transaction.

B) Rental pricing guidance: suggested monthly rental often set between 1%–5% of retail value, adjusted by demand, size and exclusivity. (ArtEvoque sets floor/ceiling.)

C) Payment cadence: monthly payouts to artist net of platform fee, with 30-day payment terms after month close. Hold a damage reserve if required.

(ArtEvoque decides final splits and publish them in the certification materials.)

Insurance & liability

During transit: who insures? Either the shipper (with paid declared value) or ArtEvoque’s transit policy.
While installed: the property owner or developer should hold insurance that covers installed artworks. If not, offer optional ArtEvoque insurance (charged back to developer or deducted).
Damage policy: define thresholds for repair vs replacement; if artist repairs, set reimbursement terms; otherwise valuation payout.

Installation, rotation & maintenance

Installers: use vetted installers trained in the ArtEvoque standard.
Rotation cadence: set typical durations (e.g., 3, 6, or 12 months). Keep artists informed in advance about rotation schedules.
Maintenance: light cleaning instructions per media (do not use chemicals on oils, dust with microfiber only). Define who does maintenance and who pays.
Deinstallation & return: same condition report signed; carrier handles return packing or next installation.

Certification issuance, badge & recertification

After passing technical check + training + one pilot installation, issue a digital certificate and a logo badge artists can use on website/portfolio for 12 months.
Recertification annually: requires at least one rental placement or a quick review. If artist misses active participation for 18+ months they may be moved to inactive and must reapply.
